The purpose of Student Organization Funding is to support the success and impact of all recognized student organizations on the Denton campus. Through this fund, the Pioneer Involvement Team (PIT) offers financial assistance to help student organizations operate effectively, host engaging programs, and pursue meaningful travel opportunities. PIT provides four types of funding for registered student organizations: Operational, Programming, Travel Registration, and Accessibility.
Each year, Pioneer Involvement Team is awarded a pool of money to disperse to support Denton Campus student organizations. Pioneer Involvement Team is charged with the equitable distribution of funds and the process of receiving and administering the funds. Once the funding has been depleted, there will not be available funds until the next academic year.
Student Organizations at Dallas and Houston campuses will need to connect to their campus Student Life office regarding potential funding opportunities.
Operational Funds
Purpose: Operating Funds are intended for expenses necessary to maintain your organization through general operations during the year.
Amount: Organizations can apply for up to $500 per academic year.
Application deadlines: Applications may be submitted on a rolling basis.
Programming Funds
Purpose: Programming Funds are intended to support programs hosted by your organization. Programs must be on-campus and open to any TWU student to attend.
Amount: Organizations may apply for up to $500 a semester.
Application deadlines: Applications should be received at least three weeks prior to needing to have requested items in-hand to host the on-campus. Late applications or applications that do not meet the purchasing deadline will be denied.
Student Organization Travel Funds
Purpose: Student Organization Travel Funds are intended to assist with expenses for student organizations attending local, regional, or national conferences related to their activities by supplementing the cost of conference registration fees.
Amount: Organizations can apply for up to $500 per year.
Application deadlines: Applications may be submitted on a rolling basis.
Use of funds: This fund is intended to cover conference registration fees only. The Pioneer Involvement Team will not cover travel, lodging, membership fees, or meal expenses associated with attending a conference.
Accessibility Funds
At times your organization may need to provide an interpreter for members or guests. There are fees involved in obtaining an interpreter. In partnership with Student Life, this opportunity is made possible for student organizations. They will need to submit their event and request in advance using the Student Organization Funding Request Form.
About Student Organization Funding
Funding is not reserved or guaranteed for individual organizations. It is distributed as mini-grants through an application process. Funds are limited and awarded on a first-come, first-served basis. Once all available resources are allocated, no additional funding will be available for that cycle. In addition, reimbursements are not permitted in this process.
Process for Requesting Funds
Denton Campus Recognized Student Organizations, who are requesting funding through Pioneer Involvement Team will follow the steps listed below to request funding. Student Organizations on Dallas or Houston Campuses will need to check with their campus Student Life office for the process of requesting funding for their organizations.
Please note, student organizations associated with online programs are covered through Denton Campus Student Organization Funding with Pioneer Involvement Team.
Step 1:
Read over the approved vendors list and restricted items list before submitting your application. Pioneer Involvement Team will not fund electronic devices for your organizations.
Step 2:
- Be prepared to upload a completed Budget to your request. A template is provided to organizations in the application process. It is important in the application process to show where you want to make your purchase, how much it costs, and a short description of each item being requested in the purchase.
- Student Organization President or Treasurer completes the Student Organization Programming, Operational, Travel, or Accessibility Fund Application located on myTWU.
- Applications are reviewed by the Pioneer Involvement Team.
Step 3:
The Pioneer Involvement Team (PIT) Funding Coordinator will contact applicants regarding the status of their funding request. Requests may fall into one of three categories: Approved, Needs Hearing, or Denied.
- Approved Applications
- Definition: Requests that meet all minimum requirements, include a complete budget proposal, and fall within the allowable funding limit of up to $500.
- Needs Hearing Applications
- Definition: Requests that require additional information before approval can be determined.
- Examples: Missing a completed budget proposal, missing an event date, or other clarifications needed by PIT.
- Organizations in this category will be invited to a funding hearing to answer questions.
- Denied Applications
- Definition: Requests that do not meet the minimum requirements for approval.
- Examples: Requesting P-Card access before a funding hearing, submitting a budget exceeding $500, etc.
Funding Hearings
- Format: Virtual via Microsoft Teams at 5:00 PM on designated Mondays.
Attendance: Only organizations requested to attend a hearing must participate.
Hearing Dates:
- September 15, 2025
- October 6, 2025
- October 27, 2025
- November 17, 2025
Notification of Decisions:
- No later than 48 business hours after the funding hearing, you will be notified of the status of your request.
Step 4:
- If approved, the applicant will receive a list of the next steps to complete.
- Purchasing Card (P-Card) Form. This form will need to be completed in order to use student organizations P-Card.
- Complete the delegate form attached at the end of the P-Card form.
- Schedule a time via the Pioneer Involvement Team booking link to pick up P-Card (subject to availability by assigned team member), shop, and return P-Card.
- If denied, the applicant will receive notification and reason for the denied request.
