Remember, TWU has no affiliations with student organizations, and neither the Letters “TWU” nor “Texas Woman's University” may be associated with your student organization's account.

Banking Basics
- Student Life does not supply banking services to student organizations.
- Student organizations are not required to have a checking or savings account, but it is encouraged.
- Organizations can choose any banking institution and type of account to open.
- Use our Banking Meeting Minutes Template to ensure you have documented everything appropriately before you open an account.
- Opening an account will require applying for a Federal Tax ID # or FEIN. See How to request a Federal Tax ID # for a step-by-step guide.
- Student Organization accounts cannot contain the name or abbreviation of Texas Woman’s University.
Managing Funds
- Organizations are responsible for generating and maintaining their own finances and financial activities.
- Funds of the club are to be used for purposes which support the stated mission of the organization
- The organization cannot operate for private or commercial gain, and the organization's earnings may not benefit any person having a personal interest in its activities.
- The Faculty/staff advisor has the responsibility of supervising the organization’s management of its finances and helping to see that the organization and university's fiscal procedures are enforced.
- While not required, it is highly recommended that each student organization have a treasurer or similar position to handle organization funds.
- All organizations are expected to maintain accurate and complete records of all income and expenses.
- These records are subject to the audit of the university following the auditing schedule. Whenever there is a change in leadership or advisement these records must be passed on to whomever will be responsible for the management of the records.
Things to Remember
- It is recommended that two signatures be required on each check to hold student leaders accountable for their organizational spending.
- Recognized student organizations are solely responsible for any contract they enter into with third-party vendors. The University will not be held liable for these contracts.
- Students are responsible for keeping track of their funds.
- It is recommended that Advisors be involved in the creation and maintenance of the organization's account.
- It is also helpful to have written procedures on how the account will be managed including processes to manage conflict of interest and transitioning control of the account to new officers.
- The credit union or bank may ask for proof or verification of who the officers of the organization are, you can provide verification by printing the officer list from your Pioneer Engage page, or requesting a letter from the Assistant Director of Student Life, Lydia Dillen ldillen@twu.edu.
- Texas Woman’s University is not responsible for debts contracted by registered student organizations.
