Rain Sites
It is up to the group/individual requesting space to reserve a rain site. If inclement weather is forecasted, the decision to move an event inside must be made 48 hours prior to the reservation. The decision to change venues to the rain site cannot be undone within 48 hours. Refunds will not be given for inclement weather.
Event Equipment and Services
Event equipment and services (tables, chairs, custodial, etc.) can be added to reservations. Requests for equipment and services must be received at least one (1) week prior to the event, and three (3) weeks prior if set-up assistance is needed.

Tech Support for Outdoor Reservations
Media Services can provide sound equipment and technology staffing for outdoor events.

Media Services support can be requested through Mazévo. If an event is in a location that was not booked through Conference Services, email conferenceservices@twu.edu.
Conference Services Venues
For Student Organizations and TWU Departments, all spaces reserved through Conference Services can be requested through Mazévo. Please submit reservation requests at least one week prior to the event (2+ weeks advance notice is required for events that need to be reviewed by the Special Events Committee).
Event equipment and services (tables, chairs, custodial, etc.) can be requested through Mazevo when reserving these spaces. If assistance from Facilities is required to set up rental equipment, advance notice of 3 weeks is requested. Set-up assistance is not guaranteed.
Amphitheater & Hubbard Lawn
This is the green space between the Student Union at Hubbard Hall and Bell Avenue. The Amphitheater includes power outlets and is the perfect setting for band, DJs and performances.
CFO Lawn
This is the green space between the CFO Building and Bell Avenue.
Old Main Circle
This is the outdoor area south of Old Main. Note: If the parking lots/road need to be blocked for an event, please communicate directly with the Parking Office. DPS staffing may be required for traffic control.
Pioneer Circle
This is the outdoor area between the Music Building and Visual Arts Building. Note: If the parking lots/road need to be blocked for an event, please communicate directly with the Parking Office. DPS staffing may be required for traffic control.
University Gardens & Greenhouse
Gardens are located around Chapel Drive. This space does not include the Butterfly Garden or the Fit & Rec Lawn. Note: The Greenhouse is a scenic structure only and is not available for events or activities that take place inside.
Other Venues
The event spaces listed below are NOT managed by Conference Services but are listed here as a courtesy. If event equipment and services (tables, chairs, custodial, etc.) are needed for these venues, a “Rentals/Service Request” must be submitted through Mazevo. These requests must be received at least one week prior to the event date.
If assistance from Facilities is required to set up rental equipment, advanced notice of 3 weeks is requested. Set-up assistance is not guaranteed.
Diane Baker Softball Field
To request the softball field, complete the Form for Use of Athletics Facility and submit it to the Athletics department.
Dining Hall Back Porch and West Patio
The patio and greenspace are immediately behind the Dining Hall. This space is reserved through the Housing & Dining. Please contact Chartwells to reserve the space.
Lowry Woods Greenspace
Green space located north of the Lowry Woods Apartments. This space is reserved through the Housing & Dining, and can be requested through Mazevo.
Parliament Village Courtyard
Open courtyard located within the Parliament Village residence halls. This space is reserved through Housing & Dining and can be requested through Mazevo.
Pioneer Soccer Park
To reserve to soccer field, contact Babak Abouzar at 940-898-2379 or BAbouzar@twu.edu.
