Calendar of Events Guidelines

The Division of Marketing and Communication maintains the TWU Events Calendar to promote engagement and foster community awareness. This digital platform serves as the official source for university events and activities.

Purpose and scope

The Texas Woman’s University (TWU) Events Calendar is  a centralized resource for informing and promoting university events and fostering engagement among students, faculty, staff, and the community. This calendar provides a platform for sharing information about activities organized by TWU departments, offices, organizations, and recognized student groups.

Guidelines for event submissions

Events can only be submitted by TWU community members and must adhere to these guidelines:

The event must be hosted or sponsored by an official TWU entity, including colleges, schools, departments, programs, offices, or registered student organizations.

All submissions must be made through the designated TWU online event submission portal.

Essential details for listing include:

  • Event title
  • Date and time
  • Location
  • Brief description
  • Sponsoring group
  • Contact details
  • Website link for further information (if available)

You must select at least one Event Type, one Audience or one Department for your event.

You can upload one image with your submission with the requirements below:

  • Format: JPG, PNG
  • Dimension: 1920 x 1080

Prior to submission, event organizers must confirm venue reservations. Adding an event to the calendar does not equate to reserving the event space.

Who can submit?

Any member of the TWU community can submit an event. Members include but are not limited to:

  • Faculty and staff members
  • Student organization leaders
  • Department administrators
  • Program coordinators
  • Research center directors
  • Athletics staff
  • Campus service offices

Review and approval process

Marketing and Communication oversees the administration of the calendar.

Based on the type of event the calendar system will route the submission to the appropriate Event Editor to review and publish.

Approval may take up to three business days.

The Event Editor may edit event descriptions for clarity and consistency.

Events that do not align with TWU policies or meet submission criteria may be modified or removed.

Types of calendar listings

Events can include:

  • Academic lectures, symposiums, conferences and workshops
  • Academic calendar and key student enrollment dates 
  • Performing or visual arts events
  • Athletics 
  • Student life activities
  • Alumni/advancement events
  • Professional development workshops
  • Community engagement programs
  • Campus-wide celebrations
  • Special ceremonies
  • Cultural programs
  • Guest speaker presentations
  • Research symposiums
  • Career fairs
  • Information sessions
  • Camps

The following types of events will not be accepted:

  • Regular academic classes, office hours, internal meetings, and deadline reminders
  • Recurring recruitment campaigns (one-time job fairs are permitted)
  • Events lacking appropriate TWU sponsorship or affiliation
  • Submissions made less than five business days before the event
  • Events that violate university policies or any applicable laws
  • Events containing inappropriate, offensive, or discriminatory content

Highlighted events

Select events with broad campus appeal may be featured on the calendar. To be considered, event organizers should submit their request according to published guidelines and include a high-quality image.

Modifications and cancellations

Organizers should notify the Event Editor promptly about changes or cancellations.

Updates are typically processed within 24 hours, except on weekends and holidays.

The calendar system integrates with external communication channels, so updates may take time to reflect across all platforms.

Compliance and enforcement

TWU retains the right to modify or remove event listings that do not comply with policies or guidelines.

Repeated violations may lead to loss of event submission privileges.
