FAQ

How do I request access to Emma?

To request access, send a written request to kcoleman24@twu.edu. Training is required prior to approval.

What happens after I send my access request?

You will either be approved or receive a written response explaining the reason for denial, along with recommendations on how to move forward.

What happens once I’m approved?

Once approved, your name and email will be added to the Emma users database. Kellen Coleman will notify you once your setup is complete.

How do I access Emma?

  1. Log in to your TWU Google account.
  2. Go to Google.com.
  3. Click the “Google apps” icon (the 9-dot grid in the top right corner).
  4. Scroll down and select “EMMA.”
You will be taken to the Emma administration page.

What sections will I see on the Emma homepage?

The homepage includes four main sections:

  • Home – Overview of mailing averages (last 30 days), year-to-date activity, quick stats, and a scrollable calendar.
  • Campaigns – Your main working area. Includes drafts, scheduled, sent, automated, and shared emails. Also has a search bar and a “Create new campaign” button.
  • Response – Tracks engagement and performance of your emails. During training, we’ll review what scores to look for to better craft your newsletter.
  • Insights – Provides advanced analytics and reporting.

How do I create a new campaign?

Click the blue “Create new campaign” button in the Campaigns section.

  1. Name your campaign.
  2. Choose a template from:
    • Recent Emails
    • My Templates
    • Shared Templates (from Marketing & Communication)
  3. Hover over the chosen template and click “Start here.”
  4. You’ll land on the content creation page.

If you don’t know your point of contact, email kcoleman24@twu.edu for guidance.

Should I duplicate a previous campaign?

It is not recommended. Duplicating causes code degradation, which leads to formatting issues and email rendering problems.

Think of it like photocopying a photocopy — it loses quality each time.

  • Use a saved template instead.
  • If you duplicate, you assume the risk of broken formatting.

How do I share a campaign with audiences not in my subaccount?

If you need to reach multiple audiences (e.g., faculty and students):

  • Your point of contact can share your campaign to other subaccounts.
  • That subaccount can then review, edit, and resubmit the campaign.
  • Be sure to coordinate edits before publication.
