Media Services offers technology support and assistance to events on the Denton campus.

How to Submit a Media Services Request

  1. When reserving a room in Mazevo that is managed by Conference Services, you will be able to add technology needs to your request.  This information will be sent directly to Media Services for support.
  2. If you are reserving a room that is not managed by Conference Services, you may submit a Service-Only Request in Mazevo, or contact Media Services for assistance at 940-898-3641.

For support on the Dallas Campus, submit the Dallas Technology Support Request form.

For support on the Houston Campus, contact the Houston Campus Manager.

TECHNICAL SUPPORT PRICE

Technology Consultation
Consultation to assist in planning the technology aspects of the meeting.

No cost

In-person support to assist in starting a meeting.
Media services will instruct the group on use of the in-room technology equipment at the beginning of a scheduled meeting. Technician does not remain on-site for the entire event.

(Fee may apply for after-hours and weekend support)

Dedicated On-Site Event Support
Media Services remains on-site for the duration of a meeting or event and assists with functionality and troubleshooting of technology. The client/group is responsible for controlling their own presentations.

TWU Departments & Student Orgs: $40/hour/technician

External Groups:
$50/hour/technician

Support for Streaming/Web Conferencing (Zoom)
Media Services will provide equipment and support for camera equipment in order to Livestream or Zoom. Technology consultation required at least 1 week prior to the event.  

Notes: Hourly tech fee will apply to the set up, tear down, and event time. If additional set up or tear down time is required, the client is responsible for securing the room for that additional time frame.

$40/hour/technician
(Fee is for technician labor/time only.  Rooms without adequate camera setups may incur additional fees if specialty rental items are required)

Concert Series Sound Package
Professional amplification for bands and musicians. Consultation required.

$150 + technician(s)
(Fee for technician may vary based on scope of event, and if multiple technicians are required).

Media Services Policies

Definition of Services
Media Services supports all non-class events and meetings at TWU.  ITS supports academic classes and class events.  A class event is a session or meeting that is required for students enrolled in a specific class to attend, and is not open to students in other classes.  A non-class event is any other kind of event, regardless if it is being hosted by an academic department or not.  

Request Deadlines
Confirmation of support is based on availability of resources.  Support may be limited in peak busy times due to high volume of events.  Requests should be received at least two weeks prior to the event date. Support may not be available for requests received less than one week prior to the event.

Cancellation Policy
Cancellations or changes that take place less than one week prior to the event may be subject to a cancellation fee.

Q:  Do I have to pay for technology support?

A:  There is no cost to have a Media Services technician assist with starting/kicking off your meeting during regular business hours.  A fee may apply for some services or rental equipment and for dedicated on-site support.
