ILLiad FAQ

Q: What is ILLiad?

A: It is an electronic system you use to request an item through Document Delivery/Interlibrary Loan.

Q: How is ILLiad better than the TWU Libraries Request Form I had been using?

A: There are many advantages to the ILLiad system:

  • You will only need to enter your personal information once, the first time you make a request. With the previous form, you entered your personal information with each request.
  • You can receive many of your photocopies more quickly through Electronic Delivery.
  • You can log into your account to check the status of your request(s)
  • Interlibrary Loan staff are able to assist you more effectively because all the information about your request is housed in a searchable database. We can also gather statistics on the libraries from which we borrow items so that we can make the best choices when choosing lenders.


Q: Is security a problem if I use a public workstation?

A:Yes, Web browsers will cache information in history files on each workstation. This allows subsequent users of that workstation to access the system under your name using the browser's Back button. This allows them to access your personal information from a page in the browser's history file. If you are concerned about other users accessing your personal information, you can:
  • Access ILLiad only from your personal computer or another secure workstation
  • Access ILLiad from a public workstation on TWU campus. These computers are set to clear your history when you log off.
  • When using a public access workstation:
    a. Delete the pages with your personal information from the history file.
    b. Exit from the browser before you leave the workstation. This prevents the Back button from accessing the pages you were using.

Registering

Q: Why do I need to set up an account in ILLiad?

A: You must have an account in the ILLiad system in order to make a request through the Interlibrary Loan department. The first time you log on to the system you will prompted for your Personal Information (name, etc.) - but this is the only time you will need to enter this information.


Q: What if I am having trouble logging in to my library account?

Costs

Q: What Does It Cost?

A: Most periodical/journal article photocopies and books provided or lent by other lending libraries are usually available at no charge. Occasionally, some requested material cannot be obtained without cost. Some libraries charge for their photocopying and lending services and these charges generally range between $10 and $25. If your request cannot be filled without charge, you will be notified.

You are responsible for all interlibrary loan charges that you agree to pay, even if the material arrives after the date by which it is needed, or if the material is never picked up.

Charges are posted to your library account. You can pay by check, credit card, or money order when requested material is picked up or when you receive a fine/fee notice.


Materials

Q: How Long Can I Keep Interlibrary Loan Materials?

A:

  • Copies are yours to keep.
  • The due date for loaned material is set by the lending library and will be indicated on the ILL sleeve on your book. The loan period begins when the book arrives at this library - not when you receive it.
  • The due dates cannot be Extended and the items cannot be Renewed by the TWU Library. Please plan to use loaned materials during the time they are available to you.
  • Overdue fines for Interlibrary Loan Materials are $1 per day.
  • ILL materials are subject to recall by the lending library, which changes your due date. Overdue fines for recalled ILL materials are $2 per day. Email notification of recalled materials will be sent to you TWU email address.

Pickup

Q: How Will I Know When My Materials Have Arrived?

A: A notification will be sent to your email account when your materials arrive. You will also be notified when requests are cancelled. The reason for the cancellation is specified.


User Responsibilities

Q: What are my responsibilities as a user?

A:

  • You are responsible for ILL materials from the time you receive the material (or it is sent to you) until they are returned. If the material is lost or damaged while in your possession, you must pay any repair, replacement, or processing fees which the lending library charges.
  • Always return ILL materials to a TWU library. Do not return to the lending library.
  • Return ILL materials to any TWU campus library or mail to:

  • Failure to return materials on time jeopardizes the TWU Library's ability to borrow in the future.

Renewal

Q: What About Renewals?

A: Interlibrary loan materials are not renewable. The due date is set by the lending library, not TWU. Please plan to use loaned materials during the time they are available to you.


Requesting

Q: What is Interlibrary Loan?

A:The TWU Interlibrary Loan Service is designed to help TWU faculty and students acquire research materials unavailable in the TWU Libraries. The library acts as an agent in obtaining these materials on loan or in photocopy from any of over 16,000 other libraries. The service also may be used to request copies of items located at only one of the TWU campus libraries but needed by someone at another TWU campus.

Q: Who Can Use Interlibrary Loan?

A: Currently registered students, faculty, and staff of any Texas Woman's University campus may submit requests for materials. Interlibrary loan is NOT provided for TWU Libraries Courtesy card holders or other non-TWU individuals.

Q: What Can Be Requested Through Interlibrary Loan?

A: Books (except those listed below)
Copies of journal, magazine, and newspaper articles (within the restrictions copyright)
Government Documents
Conference Proceedings and transactions
Theses and Dissertations

Q: What Cannot Be Requested Through Interlibrary Loan?

A:

  • Materials to place on Reserve
  • Reference works
  • Textbooks
  • Rare books and other fragile or bulky items
  • Entire issues of journals
  • Computer software
  • Audio-visual materials (sound recordings, DVD's, videos)
Q: How Long Does It Take?

A: Loan request average 2-3 weeks, while copy requests average one week. However there is no control over how long another library will take to fill a request. Be sure to submit requests well in advance of need to avoid disappointment. Some requests that are difficult to fill may take longer. With the ILLiad system, you can log into your account at any time to check the status of your request.

Q: How Do I Make An Interlibrary Loan Request?

A: Interlibrary loan requests for books and periodical/journal articles may be submitted via TWU Libraries ILL Form by all members of the TWU Denton, Dallas and Houston campuses. You will need to login to your library account in order to access this form. You can also place requests directly from database articles by using the "Find Full Text" option, and if no full text is available, choosing "Submit Interlibrary Loan Request." This is available in most databases offered by the TWU Libraries.

Q: How Do I Fill Out The Interlibrary Loan Request Form?

A: Following these simple rules will speed the processing of your interlibrary loan request:
  • Be sure to fill out the form completely and clearly. Only one request per form.
  • A complete citation is helpful. If a field is required and you don't know, use "unkown." If you do not provide all the information needed to process your request, it will be returned to you for clarification and this will delay your request.
  • Do not use abbreviations for anything that is written out in full in your source. If the source uses abbreviations, copy them exactly as they appear.
  • Indicate the source of your reference, e.g., ERIC, PsychInfo, etc. This will help ILL staff if there is a question about your request.
Q: What Happens To My Request?

A: Your request will be checked for accuracy and then entered into the Interlibrary Loan Subsystem of OCLC, the online bibliographic database which provides us with nationwide holdings information for books and journals. Five potential lenders will be selected based upon the ILL Code protocols and our knowledge of who can provide you with the best service. The system automatically polls each lender until a positive response is received. The lending library will send your material to the TWU Library for processing via U.S. Mail or ariel transmission (via the internet) of photocopied material or other possible means delivery.
